Reservations Agent

Primary Function

To provide exceptional customer service and support involves managing incoming calls, handling reservation requests, providing detailed information about our facilities and services, and ensuring all guest interactions are handled with professionalism and care.

Duties & Responsibilities
  • This position is based in CRMR Head Office: 1329, 1st SW, Calgary AB – Downtown Calgary.
  • Answer incoming calls for all three lodges and assist with creating reservations, confirmations, completing guest requests and answering questions.
  • Inputting FIT reservations as requested by companies via email and ensuring a response/confirmation is forwarded within 1 business day.
  • Completing the Information Inbox within 1 business day as general inquiries come in.
  • Maintain complete knowledge of all lodge facilities & services, room rates, packages & promotions, room types and hours of operation as well as of the rocky mountain locations and surrounding areas.
  • Actively selling inventory and up selling to higher room categories and applicable packages or promotions.
  • Double check all arrivals for OTA’s (Booking.com & Expedia) and FIT reservations on a daily basis to make sure rates and length of stays are correct and correct commission is being paid out.
  • Communicating effectively with guests, team members and other departments passing on any relevant information pertaining to reservations that may affect day to day operations.
  • Complete Gift Certificate Orders that come in through the Information Inbox or from walk-in customers.
  • General filing.
  • Revenue-related tasks as assigned by the Reservations Manager when assistance is required.
  • Other daily and specially assigned tasks as required.
Experience
  • Previous experience in a customer service or reservations role, preferably in the hospitality industry.
  • Proficiency in handling telephone inquiries and managing multiple lines.
  • Strong computer skills with experience in reservation software systems.
  • Excellent verbal and written communication skills.
  • Detail-oriented with the ability to efficiently input and manage reservation data.
  • Strong organizational skills, capable of managing a variety of tasks and responsibilities.
  • High school diploma or equivalent.
