3-DAY ITINERARY: THE ULTIMATE CORPORATE RETREAT

Pre-Retreat: A Relaxed Start

4:00pm – Guest Arrival & Check-In

Many groups choose to arrive the evening before the retreat officially kicks off, giving team members time to settle in, connect, and get grounded before an impactful few days ahead.

Upon arrival at Buffalo Mountain Lodge, guests receive their room keys and unwind in cozy accommodations that blend rustic charm with refined mountain comfort.

For a thoughtful touch, personalized welcome gifts can be arranged in each room, setting the tone for a warm and memorable retreat. Choose from a menu of locally sourced and house-made favourites, including Triple Berry Jam by Worthy, Chocolate Bonbons by The Chocolate Lab, or individual S’mores Kits—a sweet nod to the lodge’s fireside culture that doubles as both a treat and an activity during your stay.

Happy Hour & Welcome Dinner

Following check-in, guests can gather in the lounge for a casual happy hour before making their way to The Prow for a group dinner.

This informal evening offers the perfect opportunity for colleagues to ease into the retreat and connect outside of the office over Rocky Mountain cuisine. It’s a warm, welcoming start that sets the stage for a fun and meaningful corporate getaway.

Day 1

8:00am – Breakfast

The first full day begins with a fresh, locally inspired breakfast served right in the group’s private function room and homebase for the retreat ahead. 

The Corporate Events Team will help customize breakfast options to suit the group, with popular selections including a continental breakfast with croissants, smoked ham, and cheeses, or a hot breakfast with eggs, bacon, and hashbrowns—paired with plenty of fresh coffee, of course.

9:30am – 11:30am | Welcome Reception & Icebreaker

Following breakfast, guests transition to their private function room—warm, inviting spaces featuring wood-beam vaulted ceilings, river-rock fireplaces, and expansive windows that frame the mountainside of Tunnel Mountain, where the lodge is perched.

The day begins with opening remarks from a designated team leader, welcoming attendees, outlining objectives, previewing the agenda, and inspiring excitement. 

With freshly brewed coffee and house-made scones to keep energy levels high, this welcoming environment invites teams to settle in and get comfortable.

Ice-breaker: 10 Things in Common

A great way to spark conversation, this activity challenges teams to discover shared interests or experiences among their colleagues. This simple yet effective exercise encourages connection and engagement, setting an upbeat tone for the retreat.

  • How It Works:
    Break the team into small groups.
    Task each group to discover 10 things they all have in common; topics can be anything including hobbies, travel destinations, movies, or pets.
    Have teams write their answers down and share them with the larger group afterward.

Team-Activity: The Tower Challenge

This hands-on challenge is all about teamwork, creative problem-solving, and friendly competition. It’s a fun and lighthearted way to reinforce collaboration and innovation with a little laugher – key skills for any high-performing team.

How It Works:

  • Break the team into small groups.
  • Provide each group with identical supplies: straws, tape, string, scissors, and marshmallows. 
  • Task teams with building the tallest freestanding tower possible within a set time limit, using only the materials provided.
  • Once time is up, teams present their creations and share their strategies. The tallest tower wins a prize!

11:30am – 1:00pm | Lunch & Guest Speaker

Lunch at a retreat can be more than just a meal, but a chance to blend nourishment with knowledge. Delivered directly to the function room, guests enjoy lunch over a dynamic guest speaker—someone who brings fresh perspectives, thought-provoking insights, and powerful stories to the table. For lunch, select from a lunch menu featuring comforting soups and sandwiches to burgers, and locally sourced fish.

5:00pm | Sommelier-Led Wine Tasting in The Wine Cellar

As evening approaches, guests are invited to gather in the intimate charm of the Wine Cellar for an exclusive Sommelier-led wine tasting. This elevated pre-dinner event blends team building with culture, offering a relaxed, refined atmosphere where guests will explore premium boutique wines and learn about flavour profiles and pairings, all while strengthening connections with one another.

7:00pm | Rocky Mountain Inspired Dinner

Dinner is served in the group’s private function room, which transitions from a daytime meeting space into a warm, banquet-style setting for the evening. With ambient lighting, thoughtful décor, and a restaurant-style layout, the space feels every bit as special as a traditional dining room.

Guests will enjoy a three-course plated dinner inspired by the local flavours of the Canadian Rockies. Prepared by the culinary team at The Prow Restaurant, known for their elevated take on traditional Rocky Mountain cuisine, the dinner menu features a wide range of options, with highlights like wild boar pate, Alberta beef tenderloin, bison short ribs, and the halibut fillet.

9:00pm | Stargazing from the Outdoor Hot Tub

The perfect way to unwind after a day of connection and activity. Guests can soak in the outdoor hot tub beneath the crisp Banff skies, enjoying stunning views of the stars above. Alternatively, a nearby firepit and cozy lounge seating offers a relaxing option for those who prefer to unwind over warm flames and s’mores.

Day 2

6:30am | Optional Morning Hike up Tunnel Mountain

For early risers or those seeking morning exercise, team members can gather for an optional 4.5 km hike up Tunnel Mountain, just steps from the lodge. The trail rewards hikers with panoramic views of the Bow Valley and the Town of Banff below.

Pre-order the Summit Explorer’s To-Go Breakfast and enjoy from one of the scenic lookout spots along the trail amidst the crisp morning air.

Tip! The early morning is the best time to spot wildlife like moose, elk, deer, and birds.

8:30am | Breakfast, Delivered to Your Function Room

Day two begins with a coffee bar, a delicious continental breakfast, and a Chef attended Omelet station in the function room itself, allowing guests to ease into the morning while maximizing time in a busy day.

9:00am – 10:00am | Q&A Session or Department Presentations

Begin with an interactive Q&A session designed to promote transparency and shared understanding. Team members can ask questions to management or fellow colleagues directly or anonymously using tools like Mentimeter, allowing leadership to better understand the team’s priorities and burning questions. 

If time allows, select a department to present a team update, achievements, and showcase their impact across the organization. This hour is focused on alignment, celebrating contributions, and sparking meaningful conversations.

10:15 – 12:15 | Mountain Quest Team Building-Activity & Challenge

Hosted by White Mountain Adventures, Mountain Quest is an Amazing Race-style challenge that takes teams on a race to complete tasks throughout Banff.

How It Works: 

Fully Facilitated Experience – Let the experts from White Mountain Adventures handle the planning while company organizers take a break.

Teams of 4-5 – Teams race to complete challenges at various locations and landmarks throughout Banff, earning points for teamwork, speed, and creativity.

Fully Customizable – Challenges and locations can be tailored to company goals, fitness levels, and seasonal conditions.

Interactive & Strategic – Activities reinforce key retreat themes such as creativity, communication, strategy, resource management, problem-solving, and collaboration—while fostering a healthy competitive edge.

12:15pm – 2:00pm | Picnic Lunch at Central Park

Arrange to finish the Mountain Quest adventure in downtown Banff at Central Park. Nestled beside the Bow River, this scenic spot offers tranquil river views and a relaxed atmosphere. Settle into one of the park’s many picnic tables or the covered gazebo and enjoy an Explorer’s Lunch – a pre-ordered, picnic-style meal from Buffalo Mountain Lodge, packed and ready to go. With convenient amenities like washroom facilities, water fountains, and nearby parking, Central Park is a comfortable and accessible choice for corporate groups to enjoy lunch in the heart of Banff.

2:00pm – 4:00pm | Afternoon Wellness & Yoga Class

Following lunch, treat your team to a rejuvenating yoga class. Local studios, such as Flow State Yoga Studio, and experienced yoga instructors are available to lead private group bookings right from the lodge, either indoors or outside on a warm, summer day. 

Yoga is proven to improve mood and overall mental health, making it the perfect way for your team to recharge both mentally and physically.

5:30pm | Happy Hour at The Prow

After a busy day, it’s time to set work aside and connect on a more personal level. Guests can relax for happy hour in The Prow’s lounge, discreetly nestled within the main lodge, featuring locally inspired appetizer bites, signature cocktails, premium wines, and craft beers. Each participant’s name is placed in a hat or bowl.

One by one, everyone draws a name and shares something positive about that person.

11:00am | Lunchtime Fuel Up

Refuel from the comfort of your function room with a fresh, elevated take on lunch. Guests can select from four three-course lunch menu options, ranging from casual soup and sandwich combo to house favourites like the Bison burger, grilled chicken, or steelhead trout fillet. 12:00pm – 4:00pm | Sunshine Village Teambuilding Adventure

Located just 1.5 hours from Calgary, Banff is easily accessible by car or shuttle. Groups can book a stress-free ride with Banff Airporter or Discover Banff Tours for direct transportation between Calgary and Banff.

Important Note: A Banff National Park Pass is required for all visitors. Passes can be purchased online, at the park gates, or at the Visitor Centre.
